We are seeking a New York based Producer to join our talented, global team. Full details of the role can be found below.

BRIEF DESCRIPTION OF ROLE

 

The Producer will be responsible for the successful definition, design and delivery of world-class guest experiences in line with client goals. This person delivers those experiences through permanent installations that bridge the digital and physical, enhancing the guest experience and storytelling of our client’s event spaces.   This will involve ensuring the design intent is delivered by developing and managing the right budgets, schedules, strategies, and scopes required to achieve the project goals.

The Producer’s most important role is to build and empower a team. The role requires expertise in managing stakeholder relationships, with the ability to drive complex projects coordinating design vendors (architects, creative agencies, software developers, AV and lighting designers), construction vendors (general contractors, AV and lighting integrators, and scenic fabricators), and internal teams (real estate, AV, network, product areas, marketing, etc.) to design, develop and install exhibits ranging from highly technical immersive spaces to custom-developed XR to grand sculptural gestures — and everything in between.

The ideal individual for this role is a multi-faceted and innovative problem solver with broad

design and technical knowledge, prior experience producing installations for event spaces, experiential marketing, immersive theater, museums or other permanent location-based entertainment venues, and the ability to deliver and launch projects on time, on budget, and on strategy.

 

KEY DUTIES

 

-       Provide project leadership for the successful design and delivery of experiential installations within client events and experiences spaces.

-       Solve problems, prioritize work, and own the faithful translation of the design intent to the field.

-       Ensure the design intent is thoroughly developed, understood, documented and fulfilled from concept through handover.

-       Co-develop and manage the right design process with the vendor, ensuring and facilitating sufficient iteration, collaboration, and testing appropriate for the product, leading the process through design meetings, deliverables reviews, site visits and workshops.

-       Ensure robust, open collaboration and communication between vendors and within the client organization.

-       Oversee partner teams in vendor selection and onboarding, including creating artifacts and processes such as SOWs for specialty vendors, the bid and award process, contract documents, and change management processes.

-       Work with key stakeholders to set and manage budgets for equipment, content and development  through design, development, installation, change control and reconciliation.

-       Review deliverables (written, visual, and technical) and provide feedback, raising any technical, financial, schedule and experiential risks to the team and key client stakeholders, working with vendors on risk mitigation work plans to ensure successful outcomes.

-       Develop and manage the acceptance criteria process throughout development and deployment, ensuring key stakeholder approvals along the project’s timeline.

-       Manage vendors in the development of design and production schedules, feeding key milestones for integration into the master project schedule.

-       Work with software and content creators to manage the iterative development of all media and interactive content and control interfaces, ensuring a robust design process as well as alignment with project schedule, budget and design intent.

-       Coordinate with specialty fabrication vendors to develop shop drawings and  produce installations for placement in the field.

-       Coordinate with AV integrators and client infrastructure teams to ensure technical requirements are understood and successfully delivered.

-       Participate in the review of prototypes and running of playtests to understand the status of design and associated risks.

-       Oversee commissioning and handover of the space including coordination of software testing, commissioning, training, soft opening, punch listing and final functional and acceptance testing.

-       Ensure that all exhibit documentation and deliverables have been received and appropriately archived.

-       Coordinate with the client’s AV and operations teams and external design agencies to develop the lifecycle and maintenance strategy, including the establishment of service level agreements.

-       Support the development of Charcoalblue’s Experiential service by driving the development and documentation of production processes for use on future projects.

 

KEY SKILLS REQUIRED

 

-       At least five years of relevant work experience or formal qualification/degree in Producing, Design Management, or Project Management, relevant to the environmental experiences industry

-       Experience in exhibit design, architecture or experiential design within themed entertainment, museums, or creative/advertising agencies

-       Experience in managing both design and delivery processes for physical installations and digital content

-       Direct experience with iterative design processes, rapid prototyping, and playtesting

-       Ability to work in a collaborative and fast-paced environment with a great degree of self-motivation and initiative

-       An understanding of construction terminology and building systems & overall project sequence/timing

-       Fundamental understanding of AV system functionality and installation process and techniques

-       Ability to read and comprehend project technical documents including, but not limited to, engineering and architectural drawings, software architecture diagrams, wiring schematics, schedules, test reports, and commissioning documents

-       Familiar with typical project management tools such as Smartsheet and Asana

-       Excellent written, verbal and presentation communication skills including an excellent working knowledge of Microsoft Office and G Suite applications

-       Detail-oriented with ability to think, plan, and execute on multiple projects in different phases simultaneously with little direct supervision

-       Ability to build relationships with colleagues, clients, vendors, stakeholders and management

-       Proven ability to manage complex budgets in excess of $5 million

 

PREFERRED SKILLS

 

-       Experience with theater, performing arts or events space buildings either through professional direct experience, operations, or project management work.

-       Experience with interactive or game design and software development.

-       Experience with show control systems (Medialon or similar).

-       Operating experience in a related venue.

-       Relevant construction-related OSHA training.

EMPLOYMENT DETAILS

 

HOURS

This is a full-time ‘at will’ position for 40 hours per week - including one hour (unpaid) per day for lunch.

The role is subject to a three-month probationary period and has the potential to extend past an initial year, depending on the clients’ /Charcoalblue’s business needs at that point. Discussion to take place prior to client contract end.

We typically operate a flexible working hours scheme, exact hours to be agreed with the client if successful at interview and, subject to the demands of the projects on which you are engaged, recognizing the importance of the work/life balance.

We are an international organization and therefore the needs of the business are as such that this role requires a flexibility in working hours (variable from week to week) in order to facilitate project demands and maintain support across our global entities’ varying time-zones. Working hours patterns will be discussed in more detail at the interview stages. Charcoalblue does not provide for the payment of overtime - we trust that you will work flexibly within your contracted hours.

 

OTHER REQUIREMENTS

Travel to US client specific (and occasionally international) projects as required and in line with health and safety measures around COVID.

 

SALARY RANGE

-       Following completion of your 3-month probationary period, you will receive two free theatre/live performance tickets per month in line with our Expenses Policy.
